Job Description Summary
The Case Manager is responsible for working directly with our clients providing Applied Behavioral Analysis (ABA) therapy. This position will also work with Behavior Therapist as a mentor. The Case Manager will be learning the Case Supervisor role. Case Managers will be responsible for the following duties:

Reporting Relationships
- The Case Manager reports directly to the Case Supervisor and Clinical Director
Job Requirements/Mandatory
- Must have a Bachelors level degree or higher
- Must be enrolled in Master’s program
- Must have BCBA coursework completed
- Must have a minimum of 2 years working with children diagnosed with Autism or other related intellectual disability.
- Must be computer literate in:
Excel
Microsoft
PowerPoint
- Basic Life Support (BLS) current certification
- Able to work weekends as needed/required by the company.
- Registered Behavior Technical credential (RBT)
- Must complete on-going training to support job competency.
Job Requirements/Preferred
- Able to sit for the BCBA exam within one year

Duties and Tasks:
Administration
- Fulfill 100% of scheduled session on a weekly/monthly basis
- Render and lock schedule by due date
- Adhere to 2-week notice for any vacation request with appropriate paperwork
- Submit permanent schedule changes in writing to Case Supervisor for approval (using appropriate paperwork)
- Inform Case Supervisors know of ANY changes in schedule
- Complete all assigned tasks on time (to be determined per assignment)
- Remain HIPAA (The Health Insurance Portability and Accountability Act) compliant at all times ensuring all client files are protected including text messages, e-mails and phone conversations
- Attend all Creative Solutions for Hope companywide trainings
Case Management
- Update logbook – data crunching, upkeep, re-stock paperwork, etc.
- Complete Monthly Summaries (MS) to make proper recommendations on time the date established by the Case Supervisor.
- When starting new cases: discuss the details of the case with supervisor
- Overlap with therapist(s) as needed
- Submit any scheduling/session adjustments to Case Supervisor immediately
- Respond to therapist’s and supervisors e-mails, phone calls within 24 hours.
- Respond to families e-mails, phone calls within 24 hours
- Complete Monthly Summary (MS)/Behavior Graphs on monthly basis
- Assign tasks accordingly: stimuli creation, Monthly Summaries, office hours- with e-mail follows up as the task is assigned and approved
- Monitors weekly and monthly requirements for assigned cases and ensures that staff completes these requirements and submit by the deadlines
- Demonstrates assertiveness when addressing concerns
- Fills in necessary hours to maximize every contract
Clinical
- Provides constructive feedback (Monthly Feedback Forms and goal setting) to therapists
- Provides appropriate feedback to families
- Address therapists concerns in a prompt manner
- Delegate tasks to therapists as needed
- Model appropriate strategies to therapists when overlapping
- Provide mentorship to therapists as needed
- Assertive in communication and problem solving with families/school and Regional Center personnel.
- Complete one Therapist Feedback Form (TFF) for every therapist, for every case, for every month
- Sets goals as necessary for therapists and follows up with goals from other supervisors
Consultation
- Observation of the client in various settings and situations (as needed): school, after school program, morning, afternoon, speech therapy sessions, occupational therapy sessions and community outings
- Provide consultation regarding IEP issues and present levels as requested by caregiver(s)
Internal Communication
- Must respond to every communication attempt with internal staff (i.e., supervisors, office administrators, assigned BCBA mentors, directors) within 24 hours
- Communicate all policy/protocol related issues immediately to Human Resources department
- Communicate any Information and Technology (“IT”) issues that would hinder the ability to perform work duties
- Mandatory attendance at all mandatory company meetings
- Must be fluent in updated/current policies, adhere to those policies and ensure that knowledge of these policies are followed through
Report Writing
- Help with writing progress reports and update the progress with baseline, previous and current data, complete summary and recommendations with minimal errors
- Submit reports by due date
Measures of Performance:
- Attainment of annual goals established between Case Manager and Clinical Supervisor
- Meet all essential job function requirements as described in the job description.
